Plan your cleaning budget

What affects a commercial cleaning quote?

Square footage is a starting point. The rooms, schedule and work included determine what your building actually needs.

Start with a defined scope.

Two buildings of the same size can need very different cleaning programs. A quote for tenant offices and shared hallways differs from a busy store or a commercial kitchen. J&S reviews the property and requested work before quoting; this guide explains what to prepare.

Six factors to discuss during the walkthrough

1. Cleanable space and layout

Share the approximate area, number of floors, tenant suites, restrooms and shared spaces. A floor plan can help distinguish areas included in the program from rooms that do not need service.

2. Frequency and activity

Twice-weekly office cleaning and daily service cover different workloads. Tell us the number of occupants, busy periods and any areas that need attention each visit.

3. Tasks and surfaces

Specify vacuuming, mopping, restroom cleaning, touchpoints and trash removal. Identify carpet, tile, glass and other surfaces. Periodic floor care and window cleaning should be clearly listed when requested.

4. Starting condition

A property may need an initial detailed clean before recurring service begins. Ask whether the proposal includes that first visit or prices it separately.

5. Access and schedule

Discuss opening hours, keys, alarms, parking, elevators and areas that remain occupied. For restaurants and cloud kitchens, explain production hours and equipment access.

6. Supplies and periodic work

Confirm who supplies restroom paper products, soap and liners. Ask which supplies are included and whether periodic tasks are part of the recurring price or separately approved.

Compare proposals by work included.

Ask each provider for the same rooms, tasks and frequency. Review exclusions, service times, supply responsibilities, periodic work, communication and the process for adjusting scope. A lower total may cover fewer tasks or visits.

Your walkthrough checklist

  • Property address or ZIP and approximate cleanable area.
  • Property type, occupied hours and preferred cleaning times.
  • Requested frequency and the rooms included.
  • Current concerns, photos and any specialty surfaces.
  • Supply responsibilities and periodic tasks to quote.
  • Desired start date and access requirements.

Common questions

Can you quote from square footage alone?

It helps us start the conversation, but layout, condition, tasks and access still need review before defining the proposed work.

Can cleaning frequency change?

Discuss the options during the walkthrough. Any later change should be reflected in the agreed scope and pricing.

Does recurring cleaning include every specialty service?

Check the proposal. Painting, window work and periodic floor treatments should be included only when expressly listed.
